Go to Dashboard → Schedule → Availability — it’s its own top-level tab, not a Settings page. Edit the studio’s weekly hours and each instructor’s own hours there; a studio that skips this during onboarding keeps the hours setup suggested (Mon–Fri 3–8pm, plus any day its imported weekly lessons fall on).
On a phone: In the app: Settings (gear) → Availability → Edit the studio’s own hours, or Edit [name]’s hours for any instructor (the mobile site is the same: the gear → Availability). An instructor edits their own there if the studio allows it. Cutting hours that booked lessons would fall outside asks first; nothing is moved or canceled.
Open the lesson on the Lessons page and click Reschedule on its card, or drag it to a new time on the Calendar (week view). Reschedule requests a student sends flow to the studio to approve.
On a phone: In the app, tap the lesson on Schedule or Home to open its sheet, then tap Reschedule.
Open the lesson and choose Cancel lesson — this is available any time, even before attendance opens, and it asks who to tell. If it falls inside your late-cancellation window, the app applies your policy automatically.
On a phone: In the app, tap the lesson and choose Mark canceled (on the mobile site: Outcome → Canceled); inside the cancellation window it asks first whether to charge the fee, use a package lesson, or waive it. Canceling on the phone emails the student (or parent) and the teacher.
Set the rule in onboarding’s Payments and cancellations step, or later at Settings → Booking & cancellations → Late cancellations: how many hours ahead counts as late, and what it costs — no charge, a flat fee, a percentage, the full price, or one package lesson. Until that’s answered, a late cancellation charges nobody anything.
On a phone: The rule is set on the desktop site. On the phone, canceling inside the window asks first: Charge the $X late fee, Use one package lesson, or Waive it, and Don’t cancel backs out.
On Home, press Email open times (the envelope) at the top right of Fill your week. Each day is one row: tick a day to offer all of it, or Choose times to pick some. Then pick who gets it (Not booked this week by default, or all active students, leads, a tag, or one teacher’s students), take anyone out or add anyone with Edit list, add a note if you like, and send. Every time in the email is its own button: a student signed in to your portal books it there, everyone else on your booking page, already on that time. Up to 30 times per email; anyone who opted out of studio email, or got one in the last few days, is skipped. Use this group every time makes that group the usual one.
On a phone: On the phone, ask the assistant: "offer this week’s open times to my students". It shows one card with each time and how many students get it, and Yes sends the same email. The composer itself is desktop-only.
A full class shows "Full · join waitlist" on the booking page, and a visitor joins with just a name and email. You can also add someone by hand from the session → Waitlist → + Add someone to the waitlist, and choose how freed seats are offered at Settings → Booking & cancellations → Class waitlists (Offer to the next person, First to claim, or Ask me first).
On a phone: In the app: Settings → Classes — Class waitlists sets the studio default, and a session has Offer seat, Enroll now, Add someone to the waitlist and its own "When a seat frees up". The mobile site’s Classes screen is view-only.
Create one from the Events list with a public registration link and optional ticket types, each with its own price and capacity. Add attendees with + Add attendees — invite them, add without inviting, or add and mark paid — and a sold-out event automatically takes names on a waitlist.
On a phone: Events are created on the desktop site. On the phone, Settings → Events → an event lets you Check in people and Charge card, Send link, Mark paid or Waive.
Yes, four ways, at Settings → Calendars & apps → Your calendar. Subscribe to my lessons subscribes Google, Apple or Outlook in one click (Google can take a few hours to show a change). Send each lesson as a calendar invite emails each lesson you teach as an invite that updates or cancels itself. Connect Google Calendar writes lessons straight into a Google calendar. Import my existing calendar is a one-time copy the other way. Use only one of the first three, or lessons show twice; picking one switches the other off.
On a phone: The same four are on the phone site (Settings → Your calendar) and in the app (Settings → Your calendar). In the app, Connect Google Calendar and Import my existing calendar open the website to finish.
Yes, and they turn it on themselves: in the portal, My Profile → Your calendar → Send each lesson as a calendar invite → Turn on (also on the phone site and in the app). It is off until they do. Each lesson then arrives as an invite that moves or cancels itself; in a class, each student who turned it on gets their own. Invites go where your lesson emails for that student go, so a student under 18’s go to the parent when your studio sends lesson emails to parents. Nothing is sent while your studio isn’t live yet.
Click Schedule lesson at the top of Calendar, or click an empty slot on the calendar; the card asks when, who and what. To see who is free first, click a cell on Dashboard → Schedule → Availability (choose a lesson type in Still open to see the actual start times); it hands off to the same Schedule lesson card, prefilled, so the student is the only field left.
On a phone: In the app: Schedule → + → Add Lesson (or + Lesson on Home, or Schedule on the student’s card), then the lesson type, the student and an open time → Add lesson. On the mobile site: + on Schedule → Add Lesson.
Book the lesson as recurring from Schedule lesson and choose how the series ends: Until you cancel (the default), N lessons, or Until a date. "Until you cancel" really means it: lessons are added automatically each night so the series never quietly runs out.
On a phone: In the app, turn on Recurring lesson and pick Weekly, Every 2 weeks or Monthly — it repeats until you cancel, and each lesson can be changed or canceled on its own. On the mobile site the same toggle books 12 lessons at that time.
Open the lesson on Dashboard → Lessons and, under How did it go?, choose Completed or No-show (or cancel it). Completed opens 15 minutes before the lesson starts and No-show at its start time; Cancel works any time. The violet N lessons need an outcome button above the list walks you through every lesson still waiting, one at a time.
On a phone: In the app, tap the lesson on Schedule or Home to open its sheet, then choose Mark completed, Mark no-show or Mark canceled. On the mobile site the sheet has an Outcome section with Completed, No-show and Canceled.
Nothing moves. Lessons already booked keep their place, meeting link or address. If any upcoming lessons or availability depend on what you are turning off, you are told how many and asked first. After that, new bookings stop offering it: availability set at that place stops taking bookings, and turning it back on brings the same place and its hours back. A studio that was ever used is turned off rather than deleted, so its lessons keep it. Turning Students’ homes off remembers which teachers travel, and turning it back on brings back exactly them.
Click Start times at the top of the Calendar (it’s also on Availability) and pick 15, 30 or 60 minutes. It sets the grid you drag lessons on, the times offered when you schedule by hand, and the times students see on your booking page.
Go to Settings → Booking & cancellations → New bookings and choose Book it (it goes straight on the calendar), Ask first (you approve each one) or Talk first (no calendar, just an enquiry). Reschedules, on the same page, is I approve or Automatic. Even with Book it, a booking whose email is already on one of your students waits in Requests for you to say who it is.
In Settings → Calendars & apps → Your calendar → Connect Google Calendar, press Connect with Google, finish in the Google window that opens. The window closes by itself and the page updates; if it doesn’t, press I finished. Then choose the Calendar to use. Lessons booked or moved in MyVocalStudio are written to that calendar, and you can import events already on it once. It’s one-way: events in Google don’t block your booking times, so add those as time off on Availability. Connecting Google turns calendar invites off, so lessons don’t show twice.
On a phone: Connecting Google Calendar is done on the desktop site; the app can only disconnect it.
Open the event’s page and click Check-in. Tap each name as they arrive to mark them attended; the header counts how many are checked in.
On a phone: In the app: Settings → Events → the event → Check in. On the mobile site, open the event and tap Start check-in. Anyone who still owes can be charged, sent a link, marked paid or waived from their row.
Open the class session’s card, mark each seat, and press Close class once attendance opens. Any seat left unmarked counts as attended.
On a phone: In the app, tap the class on Schedule (or Settings → Classes). Mark each student or tap Mark everyone attended, then Close out class. Payments stay open afterwards. The mobile site’s Classes screen is view-only.
Open the canceled lesson (it has to still be ahead): This time is free offers Offer it and tell my students or Just make it claimable, and Withdraw the offer takes it back.
On a phone: This is on the mobile site, not the app. Open myvocalstudio.com on your phone, go to Schedule, tap the canceled lesson and use This time is free.
Click the violet N lessons need an outcome button on Lessons to step through each lesson still waiting.
On a phone: Tap to close out on Home, or Settings → End of day. It lists what needs an outcome and what needs payment; tap one to settle it. A daily wrap-up reminder is turned on in the app under Notifications in Settings, and the same on the mobile site: the gear → Notifications → Daily wrap-up reminder, then Remind me at.
Open the lesson and click Edit beside its details: pick a location, the student’s home, Online or no location, and save. The time doesn’t change, and the teacher doesn’t unless you change them there. On a phone, open the lesson and tap its location line to pick the same choices. Every student on the lesson (or their parent) is emailed "Same time, new place", the teacher gets a copy unless they made the change, and the screen says who was told and who couldn’t be reached. Connecting Zoom or Google for meeting links is done on the desktop site.
Tell the assistant "block Friday and reschedule everyone". One card lists the block and each lesson’s new time (the same time of day on the next day the teacher is free). Yes, do it does both, and one Undo puts everything back.
On a phone: The same sentence works in the app’s assistant (the treble clef).
On Events, open the ⋯ menu on the event and choose Duplicate (Duplicate for next time on a past one). It opens a new event with the same details, ticket types and questions, ready for you to set the date and publish.
When you create or edit the event, upload a cover under the title: JPG, PNG or WebP, up to 4 MB as the field says. It shows on the event’s registration page.
Yes. In the event’s ticket section, Requests accepted until sets how close to the event a refund request is still taken: 1, 7 or 30 days before, or a date you pick.
Settings → Where you teach → the location → Rooms, and add a room. Two lessons at the same time each take a room; the calendar picks the first free one when nobody chose. Renaming a room changes nothing on the schedule; when old lessons should keep the old name, retire the room and add a new one instead.
On a phone: Rooms are set up on a computer under Settings → Where you teach.
Turn on Online in Settings → Where you teach (the same Online you ticked in setup). Students can then pick online for any time whose availability allows it. Meeting links under it takes you to Zoom in Settings → Calendars & apps; once Zoom is connected, each online lesson gets its own meeting link. Turning Online off stops new online bookings; online lessons already booked keep their links.
On a phone: The Online switch is on the phone site and in the app under Settings → Where you teach. Connecting Zoom is done on a computer. On a phone, pick Online on a lesson’s location line.
